Ebsta Gmail Integration with Salesforce

Ebsta is a Google Chrome extension used to synchronize your Gmail account with your Salesforce account. It can be only used on Google Chrome and BullHorn. Ebsta automatically searches Salesforce to alert you to matching records based on the email you are viewing.

INTRODUCTION

Ebsta is a Google Chrome extension used to synchronize your Gmail account with your Salesforce account. It can be only used on Google Chrome and BullHorn. Ebsta automatically searches Salesforce to alert you to matching records based on the email you are viewing. It also gives you 1-click access to either add the email to Salesforce or view the Salesforce record inside Gmail. Ebsta is free for up to 3 users for every company that uses Salesforce.

Using Ebsta, we can create an Account, Contact, Lead and Opportunity without logging in to the Salesforce account. You can also sync your Google and Salesforce calendars, edit and update records, manage tasks and Chatter.

INSTALLING EBSTA

Step 1: Click Get It Now button from AppExchange.

Step 2: Accept the Terms and conditions and click Install from provider’s site button. By clicking this button you will be redirected to their official website.

Step 3: Click the Install Ebsta for free. A pop-up window appears regarding the confirmation for adding the extension to your Google Chrome browser.

Step 4: Click the Add button to confirm the installation.

Step 5: Once the installation is complete, you will be able to see the Ebsta extension icon in the right top corner of your Google Chrome browser.

Step 6: Upon clicking the icon, you will be asked to enter your Salesforce username and password, and after providing the credential you will be redirected to another page.

Step 7: Since we are synchronizing Salesforce with Gmail, select Gmail from the redirected page.

Step 8: You will be now asked to enter your email id and password.

Now you can start using the Ebsta application. By opening any one of the emails from your inbox, you will be able to view the Ebsta bar. Here you can view the associated Salesforce information with the particular user’s Email ID.

Since only Account and Contact are associated with the user Test User, the red area indicates the contact information of the user. The yellow area indicates the account to which the user is associated.

To view all other information we can click the Ebsta icon on the top left of the browser.

Here in the above image, you can view all the related records associated with the user.

We can also create a new Account, Contact, Opportunity and Lead record, by clicking the Add button on the bottom left of the Ebsta page.

We will be able to enter the Account, Contact, Opportunity, and Lead information. We can also customize the fields that need to be entered by the user during the creation of the record.

CUSTOMIZING THE FIELDS

Step 1: Click the Settings icon on the bottom right page of the Ebsta and the “Access to Control Panel” button.

Step 2: You will be redirected to another page; here, you have to select the CRM Integration on the left side of the page.

Step 3: You will be redirected to the field customization page.
On the above page, you have to select the object for which you want to customize the field values. Two sets of fields are separated

1. Current fields.

2. Available Fields.

The fields under the current field section are the fields that are displayed now. You can just drag and drop fields from available fields to current fields in order to make the field value to be entered during the record creation.

Click the Save Changes button to save the changes.

Under the User / Licences button on the left side, you will be able to see the number of available licences and a number of licences used.

Under the subscription section, you can upgrade your licences. If you want to use more than three licences, you have to go with the paid application.

Calendar synchronization

We can also synchronize the Salesforce calendar with Google Calendar.

Ebsta will sync Events you create in Google Calendar to your Salesforce Calendar once every hour and vice versa.

Before synchronizing the Salesforce calendar with google calendar, we have to ensure that both have the same time zone.

We can either select whether we wish Ebsta to sync Events from your Google Calendar to your Salesforce Calendar, your Salesforce Calendar to your Google Calendar, or to sync Events both ways.

Step 1: Click the Settings icon on the bottom right page of the Ebsta and the “Access to Control Panel“ button.

Step 2: Click the Start Calendar Sync button.

Step 3: Here in the below screenshot, you will be able to see two checkboxes which decide whether to sync Salesforce to Google, Google to Salesforce or both.

In order to sync Salesforce with Google, deselect Google to Salesforce checkbox.

In order to sync Google with Salesforce, deselect Salesforce to Google checkbox.

Click the Save button to confirm the changes.

The drawback of the synchronization is that Ebsta will continue to sync your Gmail and Salesforce calendars every hour.

We can also search based on the name of the account, Contact, opportunity and lead record in Ebsta.

Chatter Collaboration using Ebsta

We can do chatter collaboration with this app (Ebsta).

By clicking the Add Link button, Ebsta will add the current page URL by default. You can also post a comment or view the comment that you follow.

You can add all the activities to the Account, Contact, Lead and Opportunity.

You can create a Task for the Account, Contact, or Lead record you are viewing by clicking the Task button. Similarly, you can create an event, add a contact or lead to an existing campaign and you can create a new opportunity for the respective account.

We can add the email to the related Salesforce record, or to another Salesforce object.

There are two different buttons in the email you are viewing:

          1. Lightning – Add email to Salesforce.
          2. Add email to Salesforce.

 

The “Lightning add email to Salesforce” adds the email to the particular contact whose email you are viewing.

The “Add email to Salesforce” adds the email to the other Salesforce objects like account etc…

By clicking button #1 (Lightning add email to Salesforce), you will get a success message that your email has been added to the respective Contact and the color of the button changes.

When button #2 is clicked, (Add email to Salesforce), it will ask whether to add the email to the respective contact, or to another Salesforce object. You can select the object and click the Add button.

We can also add an email to Salesforce when we reply to a particular user’s email. You may see the “Send + add to Salesforce” button next to the send button. By clicking it, your email is sent to the user as well the sent email is added to the Salesforce object.

You can select the object the email should be added either to the contact or to other Salesforce objects. It will ask you to select an object when you click the “Send + Add to Salesforce” button.

Ebsta is fast, reliable and easy to set up. The bidirectional synchronization is extremely helpful and the ability to automatically aggregate emails to contacts in Salesforce from emails. We can also search for Account, Contact, Lead, and Opportunity records quickly and update the information very easily. Ebsta plays a vital role in helping sales agents; so, instead of toggling between Gmail and Salesforce, the agents can work with Gmail alone.
